Use this letter to formally lodge a car insurance claim in writing, so there is a dated record of exactly what you reported and when. Most claims start with a phone call or app, but a written letter or email protects you if the insurer later disputes the details or timing.

Fill in the placeholders, attach your photos, quotes and SAPS case number, and keep a copy. Send it by email so you have proof of delivery.

Lodge as soon as you can - most policies require notification within 24 to 48 hours, even before all your documents are ready.

When to send a written claim letter

You do not always need a letter to start a claim, but writing one is wise when:

  • The damage or loss is large (write-off, theft, fire).
  • You want a clear paper trail of dates and facts.
  • The call centre experience was confusing and you want it in writing.
  • A third party is involved and fault may be disputed.

Even if you lodged by app or phone first, a follow-up email confirming what you reported is good practice.

Attaching the right documents up front speeds up the claim:

  • Your driving licence and the vehicle licence disc.
  • The SAPS case or AR number.
  • All scene and damage photos.
  • A repair quote if you already have one (your insurer may use its own panel).
  • For theft or hijacking: the spare keys and the SAPS theft case number.

After you send it

  1. Save the sent email and any read receipt.
  2. Note the claim number the insurer gives you.
  3. Do not start repairs until the assessor has inspected the car.
  4. Keep a simple log of every call: date, name of the person, what they said.

Reasons claims get rejected (avoid these)

  • Late notification (outside the policy's reporting window).
  • An expired licence disc or driving licence at the time of the accident.
  • Unroadworthy tyres or lights contributing to the crash.
  • Non-disclosure - the regular driver or overnight parking address differs from what was on the policy.
  • A blood alcohol level over the limit, which voids most policies.

Frequently asked questions

Can I email a claim letter instead of posting it?

Yes, email is the best option in South Africa. It gives you a timestamp and a sent record, and reaches the claims team faster than post. Use the insurer's official claims email and keep the sent copy.

Do I need a SAPS case number to claim?

For accidents involving another vehicle, injury, theft or hijacking, yes - insurers almost always require a case or AR number. For minor single-vehicle damage some insurers waive it, but check your policy wording first.

How long does a car insurance claim take in South Africa?

Straightforward repair claims often settle in a few days to a couple of weeks once the assessor has inspected the car and parts are available. Write-offs, theft and disputed-fault claims take longer because of valuation and investigation.

Should I get my own repair quote?

You can, but most insurers send you to an approved panel beater or appoint their own assessor. A quote helps you understand the scale of the damage, but do not authorise any repairs before the insurer approves.

What if my claim is for theft of the whole car?

Report it to the SAPS immediately, get a theft case number, and notify your insurer the same day. You will usually need to hand in all keys and the registration papers. Settlement is based on the insured value basis you chose - retail, market or trade.

Can I claim if my licence disc had expired?

An expired licence disc can give the insurer grounds to reject or reduce a claim, because the vehicle may be deemed unroadworthy or non-compliant. Keep your disc and driving licence current to avoid this.

What does excess mean on my claim?
